Speed Up Quickbooks: Tips and Tricks to Speed Up Quickbooks

You are not alone. These issues are occuring more and more, especially if you keep upgrading to the newest version of Quickbooks year after year. Here’s how to speed up your QuickBooks data file by using the following tips and tricks we've learnt over the years.

  1. For starters, you can level up the memory on the server (or the computer hosting Quickbooks) to at least 8GB. If you have workstations, make it at least 4 GB for each workstation. But it should be kept in mind that this memory will not speed up the QuickBooks for it to perform at top level and these capacities did not consider if there are other applications running.
  2. Verify that Quickbooks is using the optimal amount of memory: Link
  3. Remove ay hidden corruption in your data file. One way to do this is to create a portable data file and restore it. Another way is to use a quickbooks data recovery service.
  4. Run a rebuild on your data file at least once every 4 weeks. Then run a Verify and fix any errors in the QBWin.Log file.
  5. Don’t go for the automatic updates for QuickBooks. Run updates manually once they have been confirmed to be stable (by reading posts on the Intuit Community forums).
  6. Invest by optimizing your PCs through defragging the hard drives. You can also improve the performance of QuickBooks by avoiding the use of a real-time AntiVirus software on the host computer.
  7. Bring down the number of lists in your data file. When Quickbooks starts up, it loads all the lists into memory. So if you have 14,000 customers, they all get loaded into memory slowing down Quickbooks. This can be done by condensing your data file once a year.
  8. Store the QBW data file on a different drive than the operating system. It's best to store Quickbooks on a seperate Solid State Drive (SSD).
  9. Be very worried if your file is 1.5GB or more. Try to get the file size reduced immediately by using a Quickbooks Optimization/File Size Reduction Service or a Quickbooks SuperCondense Service (which will clean up junk in the data file like old audit trail fragments, re-index the data, validate links, etc). Both services will reduce the file size while retaining all data in your data file. This is important because, unlike a Quickbooks condense, these services will not change any financial data.
  10. Don't buy Quickbooks Enterprise thinking it will solve all your performance issues. It won't. All it will do is give you the option to store more data (more lists). It's ironic that storing more data will degrade the performance of your file even more.
  11. The biggest culprits are third-party applications that access your Quickbooks data file. Do not use IIF files as they are a cause of severe corruption issues. If the application is using IIF files, say goodbye to it immediately and find a different solution. Be very careful in selecting a third-party app as some of the older apps are very poorly designed.
